Terms & conditions

All work undertaken by Caracola Experience (CE) shall be on these terms unless specifically varied in writing and agreed to by both parties prior to the event.

CE is a luxury picnic leader because we make it our mission to put the client experience at the forefront of everything we do. With that in mind, we cannot control many of the variables that make the picnic so magical – the location, weather, privacy and other factors that we may not even know are at play, are ever-changing. We ask that clients keep this in mind when booking. We also ask that clients assume all inherent risk and responsibility for themselves and their guests when booking. CE is not responsible for any loss, be it physical, personal, monetary or otherwise. These terms are subject to change at any time, without notice.

Payment

All of our picnics require a 50% deposit that is non-refundable and due at least 14 days before your booking. This deposit covers styling and coordination and is needed to secure the date of your picnic. The remaining balance must be paid at least 14 days prior to the event. If the client fails to pay the remaining balance at up to 14 days prior to the event, then their picnic experience will be canceled and no refunds will be made per our cancellations & refund policy.

If your picnic is booked 14 days before the event then the full payment is required.  Payment can be made by bank transfer, all information needed will be included in your quote.

Bad weather

We are monitoring the weather for every picnic very carefully. In the event of bad weather, the clients will be notified previous the event and are given the option to reschedule, this will be upon availability. If rescheduling is not an option and the client decides to cancel the picnic, a 50% refund of the total will apply. If bad weather happens during the picnic  there is no option for a refund. 

Cancellations & Refund policy

We don’t offer any refunds but we will reschedule your picnic upon availability if you cancel up to 72 hours in advance.

Exception: In the case of last minute cancellation due to bad weather, there is a 50% refund. There is no full refund as CE has to cover the expenses that has been already made.

We do not give any refunds in case one or more of the clients guests do not show up. The client can make changes on the number of guests up to 72 hours before the event, upon availability. After that, no changes can be made.

Bookings

No booking will be held without a 50% deposit.

Equipment

All the picnic equipment belongs to CE and is to be returned in the same condition as you found it. Any loss or damage to the equipment will be charged for accordingly. Stains to linen and equipment will be cleaned accordingly and may result in dry cleaning or professional cleaning charges.

Rescheduling

If you wish to reschedule due to other circumstances, we will require a minimum of 72 hours notice and must be approved by CE booking team. Availability varies.

Travel

A travel fee will apply for locations that are outside of Playa Grande. 

Menus

All CE grazing platters  are subject to change, depending on seasonal produce availability. We reserve the right to replace an item on the menu with something equally as gourmet and delicious.

Location

We may take liberties with set up to allow for the best experience possible. We may move a picnic for any number of reasons, some of the most frequent are safety, privacy (we cannot control who will be in a public space and when), access to shade, views and other reasons. We cannot guarantee an exact location although we will do our best to acquire access to said location.

The setup location has to be within 50 meters walking distance from nearest car parking.
If we cannot guarantee access, we will set up in another suitable location nearby. All local rules, signs, laws and other permissions apply. We cannot guarantee privacy in public spaces, as there will be people. 

Beach

If you book a beach picnic, you do so at your own risk. We do our best to plan for the tide but there is a possibility of rogue wave activity and you and your belongings may get wet. Please be aware of your belongings when on the beach. CE is not responsible for damages to personal items or stolen personal items. 

Weather

All reservations are weather permitting. In the event of a rain event, we will do our best to reschedule your picnic to another day upon availability. 

Food

Please be sure to let us know of any food sensitivities before booking.  We do our best to limit cross-contamination with potential allergens.

Safety

We take the utmost care in cleaning and maintaining furniture and decor items. Please only use these items in the manner which they were intended.

Photos

By asking CE to take photos, you allow us to post on our social media accounts and any promotional materials we may produce in the future. All photos are the sole property of CE and will be used at our discretion.
