Booking and planning

How far in advance should I book a luxury beach picnic in Costa Rica?

We recommend booking as early as possible, especially during high season (December–April), to ensure availability and the best planning experience. We need at least a two days notice to organize your experience with time.

how does the booking process work?

After your inquiry, we guide you through the options, confirm the details together and secure your date with a deposit.

How can I pay?

All of our picnics require a deposit that is non-refundable and due at least 72 hours before your booking. This deposit covers styling and coordination and is needed to secure the date of your picnic. The remaining balance must be paid at least 2 weeks to the event. We will send you payment link where you can pay by credit card or bank transfer. 

Can I customize my picnic or setup?

Yes, every experience can be tailored to your preferences, including styling, food and special requests. It’s our priority to provide you with the best experience possible that matches your vision.

Location and logistics

Where do the picnics / setups take place?

We host our setups on selected beaches at the Nicoya Peninsula, especially in the area of Tamarindo and Peninsula de Papagayo. Depending the distance to the beach, there is a transportation cost of the equipment.

How do we find the location?

You will receive clear and simple directions prior to your experience to ensure a smooth arrival. 

Do you help choose the best location?

Yes, we select the ideal beach based on the tides, sunset timing, season and proximity to your accommodation.

Weather Policy

What happens in case of rain?

We closely monitor weather conditions prior to your experience. If needed, we offer the option to reschedule (subject to availability) or adjust the setup to a covered location if provided. During the rainy season we offer mostly morning picnics, as there is most likely rain in the afternoon.

What if it rains during the picnic?

If weather changes during the experience, we will assist on-site but refunds are not applicable once the picnic has started.

Food and drinks

What is included in the picnic?

Our picnics include a charcuterie grazing board with a selection of cheeses, cold cuts, veggies, berries, sweets and crackers along with a bottle of wine and a bread basket. For luxury picnics in the morning we offer complementary Mimosas and croissants.

Do you offer as well other food options?

Yes! We offer as well the option of a Beach BBQ with a private chef, preparing a delicious 3 course (or more) menu for you! 

Can I bring my own food and drinks?

Yes, you can bring your own, just make sure to take everything that you brought with you at the end of the experience.

Can dietary preferences be accommodated?

Yes, we can adapt the menu to dietary needs such as vegetarian or other preferences upon request.

Experience details

How long does the picnic last?

The experience typically lasts around 1.5 hours.

What time does the picnic start?

Start times vary depending on sunset or preferred timing, which we coordinate with you in advance.

Are the hosts staying during the picnic?

No, they leave after you’re settled and return once your picnic reservation ends. If you need them during your picnic, you can call or text them and they will be on site within 15 minutes.

Can we leave whenever we want?

If you would like to leave earlier than the arranged time, please provide the hosts a 15 min notice via phone call or text. You are responsible for the picnic items until the hosts are able to return and pack up.

Should I include my children into the guest count when booking?

It depends on how you think the kids will be comfortable: if you’d like us to include seating and food for them, then include the kids in the guest count. If you have questions, you can always email us and we’re happy to talk it out.

Proposals

Can you help plan a surprise proposal in Costa Rica?

Yes, we specialize in proposal planning and assist with location, timing, setup and optional add-ons like photography.

How do you keep the proposal a surprise?

We coordinate closely with you beforehand to ensure everything is perfectly timed and discreet.

Groups and larger events

Do you offer picnics for groups or special occasions?

Yes, we provide setups for birthdays, bachelorettes, family gatherings, elopements, micro weddings and other celebrations.

What is the maximum group size?

Luxury Beach Picnic with charcuterie & wine: maximum 14 people.
Luxury Beach Picnic with BBQ or only setup: maximum 25 people.
Beach ceremonies: maximum 60 people
Micro weddings: maximum 30 people

Policies

what is your cancellation policy?

We don’t offer any refunds but we will reschedule your picnic upon availability if you cancel up to 72 hours in advance. Please check our Terms & Policies for further information. We do not give any refunds in case one or more of the clients guests do not show up. The client can make changes on the number of guests up to 72 hours before the event, upon availability. After that, no changes can be made.

 

What happens if guests arrive late?

We recommend arriving on time, as the duration of the picnic remains fixed. 

Are we responsible for the items during the picnic?

Guests are responsible for the items of the setup and personal belongings during the experience.
